When GOIL Ghana ran their dealers' conference with Asterixify, over 300 delegates registered and checked in with no issues, but not all 300 had registered online beforehand. That's normal. Across the 300+ events we've run registration and check-in for, walk-ins aren't the exception to plan around; they're a fixed share of almost every crowd, whether it's a church camp, a university symposium, or a corporate conference.
What Actually Happens at the Door
On the Asterixify Event Management System, MAFS, a walk-in doesn't get a different, lesser process than someone who registered three weeks ago; they go through the exact same pipeline. A staff member takes their details on the kiosk tablet, generates a QR code and registration number against the same event database as every online sign-up, and prints a badge in under 3 seconds. There's no separate "walk-in list" to reconcile later, no second spreadsheet, and no risk of counting someone twice. The moment they're registered, they're in the same real-time attendee count the organiser is watching on the dashboard.
We built it this way after running enough events to know that treating walk-ins as an afterthought is exactly what turns a front desk into a bottleneck. If the walk-in process is separate from the main registration data, someone eventually has to merge two lists by hand, and that's where duplicate entries and wrong headcounts actually come from.
Why the Kiosk Doesn't Need the Venue's Wifi to Work
The other thing we learned running check-in at real venues across Accra and Kumasi: you cannot assume the internet holds up. Church halls, hotel conference rooms, outdoor marquees connectivity drops usually happen right when the queue is longest. So the MAFS kiosk app doesn't depend on a live connection for every single registration. Attendee data and the registration flow are already on the device; new walk-in registrations and check-ins queue locally and sync back up the moment connectivity returns. At the Masterclass on Mitigating Illegal Wildlife Trade we ran with the University of Oxford and CBCR, and at the biodiversity symposium with JRS Biodiversity Foundation and the University of Ghana, that offline handling is what kept registration moving regardless of what the venue's router was doing.
The Numbers This Actually Holds Up To
We've processed over 5,000 attendees this way and handled events with more than 700 simultaneous check-ins. Men Makers Camp 2026, organised by the RoyalHouse Chapel International Men's Ministry, ran integrated ticket sales, Mobile Money payment collection, and QR check-in through the same walk-in-friendly pipeline described above. It's not a theoretical design; it's what's actually running at the door of every event we power.
