Event planners & event management companies in Ghana: run registration and check-in your clients notice
Your client judges the whole event by its first five minutes: the entrance. This guide covers how event planners in Ghana run registration, check-in, walk-ins and name tags without paper lists or queues, and how the MAFS event management app does it for you, even when the venue's internet does not cooperate.
What clients now expect from event management
Corporate clients, associations, churches and NGOs in Ghana increasingly expect online registration, a QR pass on their phone, a fast entrance and an attendance report afterwards. Planners who still run the door from printed lists spend the first hour of every event managing a queue instead of the programme.
The fix is not more ushers. It is one attendee list that registration, the entrance, the walk-in desk and the name tag printer all share, so every guest is handled once and every count is right.
How planners run guest management with MAFS
Registration that matches the client
Build the registration form around the event: delegate categories, organisation, dietary needs, sessions. Share one link; confirmations and QR passes go out by SMS and email automatically.
Check-in without the queue
Your team scans QR passes on tablets or phones, or searches by name. Each guest is checked in within seconds, and the client sees arrivals live.
Walk-ins handled properly
Guests who never registered are added at a kiosk tablet or by an usher in under a minute, into the same attendee list, so there is nothing to merge afterwards.
Keeps going when the internet drops
Check-in and walk-in registration carry on offline and sync when the connection returns. Hotel and hall Wi-Fi will not decide how your event goes.
Name tags at the door or in bulk
Print name tags as guests arrive, or print a whole batch before the event, on standard thermal or inkjet printers.
A report the client can use
Hand over attendance by day and category, walk-ins versus pre-registered, and the full attendee list, the same day.

An event planner's guest management checklist
Two weeks before
- Agree with the client what the registration form must capture, and keep it short.
- Open registration and share the link through the client’s channels: email, WhatsApp, social media.
- Decide the name tag layout and whether tags are printed in advance or at the door.
On the day
- Plan enough check-in points for the busiest arrival time, plus a separate desk for walk-ins.
- Brief ushers on scanning, name search and the walk-in flow before doors open.
- Keep one printer and one spare tablet at the main entrance.
After the event
- Send the client the attendance report and attendee list the same day.
- Send a thank-you or feedback message to everyone who attended.
- Note how many guests walked in without registering; it sizes the walk-in desk next time.

Questions event planners ask
What does an event management company in Ghana handle?
Usually venue, vendors, programme, guest management and logistics. Guest management, meaning registration, check-in, name tags and attendance, is where software saves the most time and where clients notice problems first, at the entrance.
Can I use Asterixify for my clients’ events?
Yes. Event planners and event management companies use MAFS to run registration and check-in for their clients, with registration pages, emails, QR passes and name tags styled for each client’s event.
Can my own team run check-in, or do we need Asterixify staff?
Either. The MAFS app is simple enough for ushers to learn in minutes, and Asterixify can also provide equipment, setup, operator training and onsite support for larger events.
Does it work for small events as well as large conferences?
Yes. It runs a 50-person workshop the same way as a convention of thousands; only the number of check-in points and devices changes.
How do guests find a public event?
Publish it on GATHR (gathr.africa). Public events also appear on our Events in Accra page, which people use to find events to attend.
